RECRUITMENT & VETTING PROCEDURES

To ensure the highest standard of patient care, all candidates must undergo the following "Pencil Staffing" vetting process:

  • Credential Verification: Primary source verification of all professional licenses (RN/LPN) and certifications (CNA/HHA) through the New Jersey and New York Boards of Nursing.
  • Background Screening: Comprehensive criminal history background checks and OIG/GSA exclusion list screening.
  • Medical Compliance: Annual PPD (TB) testing, physical examination, and proof of immunity (MMR/Varicella/Flu).
  • Veteran Initiative: Priority processing for veterans through the VECTRA recruitment program.

EMPLOYMENT & PLACEMENT POLICIES

  • Attendance & Punctuality: Staff must arrive 10 minutes prior to shift commencement. A 4-hour advance notice is required for any unavoidable absences.
  • No-Call/No-Show: Strict zero-tolerance policy; failure to report for a shift without notice results in immediate termination of the contract.
  • Professional Conduct: Staff must adhere to the host facility’s dress code and HIPAA privacy regulations at all times.
  • Reporting: All workplace incidents or injuries must be reported to P.S. Staffing management within 2 hours.

WORKFORCE STABILITY & SUPPORT

We believe that supported staff provide better care. P.S. Staffing provides unique resources to our healthcare team:

PAYROLL & ADMINISTRATIVE PROCEDURES

  • Timesheets: Must be signed by the facility supervisor and submitted by Monday at 10:00 AM.
  • Payment: Standard weekly payroll issued via direct deposit every Friday.

To establish your Billable Rates, you must factor in the "Pay Rate" (what the nurse receives) plus the "Agency Markup" (which covers your taxes, insurance, and profit).


In the NJ/NY market for 2025, the standard markup for healthcare staffing is typically 35% to 50%.

Special Rate Provisions

  • Overtime (OT): All hours worked over 40 hours per week are billed at 1.5x the standard hourly billable rate.
  • Holiday Pay: Hours worked on federally recognized holidays are billed at 1.5x the standard hourly billable rate.
  • Emergency/Short-Notice: Shifts requested with less than 4 hours' notice may be subject to a 15% Rush Surcharge.
  • Veteran Placement Discount: Ask about our VECTRA Partnership Discount for facilities committed to hiring 5+ veteran healthcare professionals. 

Understanding Your Billable Rate

Your billable rate with P.S. Staffing Solutions is an all-inclusive fee that covers:

  1. Professional Wages: Competitive pay to attract top-tier talent.
  2. Statutory Taxes: Employer share of FICA (Social Security/Medicare), FUTA (Federal Unemployment), and SUTA (State Unemployment).
  3. Insurance Coverages: Comprehensive Workers’ Compensation and Professional Liability (Malpractice) Insurance.
  4. Credentialing & Vetting: The cost of background checks, drug screening, and license verification.
  5. Administrative Support: 24/7 on-call coordination and payroll processing.

How to Finalize This for a Facility: 

  1. Select Your Rate: Use the ranges above to set your specific price based on the facility’s location (NYC usually bills higher than Central NJ).
  2. Add to Contract: Place this Rate Sheet as "Exhibit A" in your staffing agreement.
  3. Save as PDF: Combine this with the Policies and Invoices I provided earlier to create your full business packet.
